Attendance Policy

1. Overview

BA House Cleaning depends on reliable attendance, punctuality, and timely communication. Employees are expected to report to work and their scheduled homes on time and remain available for their assigned schedule unless time off has been approved or an emergency arises.

Attendance concerns are addressed using an emergency call-out system, not a point system.

2. Paid Sick Leave

Eligible employees accrue paid sick leave beginning on their first day of employment at a rate of one hour for every 30 hours worked.

  • Waiting period: Sick leave is accrued from Day 1 but may not be used until the employee has completed 90 days of employment.

  • Accrual cap: Up to 80 hours or 10 days, whichever is greater.

  • Annual use: Employees may use at least 40 hours or 5 days of accrued paid sick leave per year, whichever is greater.

  • Carryover: Unused accrued sick leave carries over, subject to the applicable accrual cap.

  • Separation from employment: Unused sick leave is not paid out at termination, unless required by law.

  • Rehire: Accrued sick leave will be restored when required by California law.

Paid sick leave may be used for the employee’s or a covered family member’s illness, injury, medical diagnosis, treatment, preventive care, or other legally protected reasons.

Employees are not required to find a replacement as a condition of using paid sick leave. Properly used accrued paid sick leave will not count as an emergency call-out or attendance occurrence.

For a foreseeable medical appointment or other foreseeable use of sick leave, employees should submit a request through MaidCentral as far in advance as reasonably practical. When the need for sick leave is unforeseeable, employees must notify the office as soon as practical and, when possible, at least two hours before their scheduled shift.

3. Paid Time Off (PTO)

Employees become eligible for PTO on their two-year work anniversary.

  • Amount: 40 hours of PTO are granted each two-year anniversary.

  • Maximum balance: 40 hours.

  • Use increments: PTO may be used in two-hour increments.

  • Separation from employment: Unused earned PTO is paid out upon termination, as required by law.

PTO is paid according to applicable California law and BA House Cleaning payroll practices.

All PTO requests must be submitted through MaidCentral. Employees should state whether the request is for PTO or unpaid time off.

4. Unpaid Time Off

BA House Cleaning understands that employees may occasionally need unpaid time off for personal reasons. Employees may request unpaid time off in addition to available PTO and sick leave.

Employees should submit requests with as much advance notice as possible. When adequate notice is provided and coverage allows, BA House Cleaning will make reasonable efforts to approve the request.

Employees may generally request up to six unpaid days per PTO year without additional review. Requests for more than six unpaid days in a PTO year will be reviewed case by case based on current business needs, client commitments, staffing coverage, the employee’s attendance history, and the amount of notice provided.

Approval of unpaid time off beyond six days is not guaranteed. Depending on business needs, approved extended unpaid personal time off may affect an employee’s route, assigned homes, weekly hours, or volume of available work upon return. BA House Cleaning cannot guarantee that the same schedule, client assignments, or number of hours will be available after an extended unpaid leave.

This section applies to unpaid personal time off. It does not limit or replace any rights an employee may have under paid sick leave, protected leave, or applicable accommodation laws.

All unpaid time-off requests must be submitted through MaidCentral. A request is not approved until it has been reviewed and approved by management in MaidCentral.

5. Planned Time-Off Requests

Employees must submit all planned time-off requests through MaidCentral.

Required advance notice:

  • Partial day or one full day: At least 7 days’ notice

  • One to three days: At least 2–3 weeks’ notice

  • More than three days: At least 4 weeks’ notice

Submitting a request does not guarantee approval. Employees should not make non-refundable plans until the request has been approved in MaidCentral.

6. Emergency Call-Outs and Attendance Occurrences

An emergency call-out is an unscheduled absence or schedule disruption that is not approved planned time off and is not protected sick leave or other legally protected leave.

Emergency call-outs include:

  • Missing a scheduled shift or assigned house with insufficient notice

  • Requesting to leave work early

  • Requesting to be removed from a scheduled house after the schedule has been finalized

  • Failing to report for an assigned shift or house without approved leave

  • Other unapproved schedule changes that disrupt client service or team coverage

Employees must notify the office by calling and texting as soon as they know they cannot report as scheduled, need to leave early, or need to be removed from a house.

Employees may have no more than four emergency call-outs in a rolling six-month period. Four emergency call-outs in a rolling six-month period are considered excessive and may result in disciplinary action, up to and including termination.

Tardiness

Employees must arrive ready to begin work at their scheduled start time.

  • A tardy or late arrival counts as one-half of an emergency call-out.

  • Two tardies equal one emergency call-out.

  • Repeated tardiness may result in coaching, corrective action, schedule changes, or further discipline.

7. Early Job Completion

Finishing a home early is different from requesting to leave work early.

If a Cleaning Technician completes a home more than 10 minutes early, they must:

  1. Submit a QA card; and

  2. Notify the office before leaving.

Early job completion is a quality and productivity matter, not an attendance occurrence. Repeated early finishes may result in coaching, retraining, quality review, or a review of the time and pricing assigned to the home.

8. No-Call/No-Show

Employees must report each unscheduled day they will be absent.

Failure to notify the office at least two hours before a scheduled shift, unless circumstances make advance notice impossible, may be treated as a no-call/no-show.

Three consecutive no-call/no-show days may be considered job abandonment and may result in termination without further notice.

9. Documentation, Exceptions, and Accommodations

BA House Cleaning may request reasonable documentation when legally permitted. The Company will not require employees to disclose private medical details beyond what is necessary to administer leave or determine whether documentation is appropriate.

Employees who need an exception, workplace accommodation, medical leave, or other assistance related to attendance should contact Human Resources or management as soon as possible. Requests will be reviewed individually and in accordance with applicable law.

10. Enforcement

Failure to follow this policy, provide required notice, or communicate promptly with the office may result in coaching or disciplinary action, up to and including termination.

BA House Cleaning will not retaliate against an employee for requesting or properly using paid sick leave, protected leave, or a legally required accommodation.
