Weekly CPL Reporting

Purpose

This SOP covers how to update BA House Cleaning’s weekly paid channel CPL (cost per lead) numbers every Monday. It ensures Anita receives an accurate, up-to-date performance report every Tuesday morning with no manual intervention needed after the update is complete.

Step-by-Step Instructions

Step 1 — Open the CPL Tracker

  1. Navigate to the worksheet: BAHC > Marketing > Trackers > Monthly and Paid CPL > DataStudio Feed
  2. Locate the last five rows in the sheet. The first four are the paid channels; the fifth is the Paid Blended summary row:
  • Google Ads
  • Yelp Ads
  • Nextdoor Ads
  • Meta Ads
  • Paid Blended — do not manually enter data here (see Step 4)

Step 2 — Enter Lead Counts

For each channel below, pull the lead count for the week being reported and enter it in the Leads column.

Google Ads
Where to find it: Google Ads account

  1. Go to Goals > Conversions > Summary
  2. Set the date range to the week being reported
  3. In the Leads tab, find and add together:
  • Submit lead forms
  • Phone call leads
  1. Enter the sum in the Leads column for Google Ads

Before entering lead counts, scan the contact list for records to exclude:

  • Names containing “test,” “asdf,” or other placeholder entries
  • Duplicate contacts (same name or phone number appearing more than once in the filtered results)

Do not count these toward the lead total.

Yelp Ads
Where to find it: GHL > Contacts

Filter by:

  • Date Created: week of reporting
  • Tag: new-yelp-lead
  • Contact Source: Yelp Ads  (case sensitive)

Enter the contact count in the Leads column for Yelp Ads

Nextdoor Ads
Where to find it: GHL > Contacts

Filter by:

Date Created: week of reporting, plus either:

  • How Did You Hear About Us? (Form | Lead Capture) = Nextdoor Ads

OR

  • UTM Source: nextdoor
    UTM Medium: paid_social

Enter the contact count in the Leads column for Nextdoor Ads

Meta / Facebook Ads
Where to find it: GHL > Contacts

Filter by:

Date Created: week of reporting, plus either:

  • How Did You Hear About Us? (Form | Lead Capture) = Facebook Ads

OR

  • UTM Source: facebook
    UTM Medium: paid_social

Enter the contact count in the Leads column for Meta Ads

Step 3 — Enter Spend

Enter each channel’s ad spend for the week in the Spend column. Pull spend figures from the respective ad platform dashboards for the reporting period.

Step 4 — Verify CPL

The CPL column calculates automatically (Spend / Leads) for each channel row. No manual entry needed.

Paid Blended row: The Leads and Spend cells use formulas that automatically sum the four channel rows directly above. CPL is calculated as total blended spend divided by total blended leads (weighted average). These formulas carry over correctly when you copy the 5-row block down for a new week — no retyping needed.

Do not change the CPL Target column unless Anita has specifically instructed you to.

Step 5 — Verify the Report

  1. Open the Looker Studio report: BA House Cleaning CPL Dashboard
  2. Set the date range to the reporting week and confirm numbers are pulling correctly.
  3. No further action needed. The report is sent automatically to Anita every Tuesday at 9:00 AM.

Notes and Reminders

  • Always use the week of reporting as your date range across all platforms, not the current week.
  • GHL contact source filters are case sensitive. Double-check “Yelp Ads” spelling and casing.
  • If a lead count looks off, cross-reference the GHL export before changing anything in the sheet.
  • CPL calculations will break if the Leads column is left blank. Enter 0 if there were no leads that week.
  • When setting up a new week, copy all five rows (the four channels + Paid Blended) as a block. The Paid Blended formulas will auto-adjust to reference the new rows above them.
