Process for Managing Inventory Quantity, Stock on Hand, and Thresholds

Purpose: Maintain accurate inventory levels and ensure sufficient stock for all Cleaning Technicians to prevent shortages.

1. Setting and Monitoring Thresholds

  • Thresholds are set to ensure sufficient stock for all Cleaning Technicians until the next delivery (typically within one week). Adjust thresholds as the team grows.
  • Thresholds and quantities are tracked in the BAHC Inventory Sheet:
  • Inventory quantities are automatically adjusted when Cleaning Technicians submit supply orders via the supply order form.

2. Weekly Inventory Check

  • Conduct a weekly physical inventory check (Friday mornings) to:
    • Verify that the physical quantities match the “Quantity” column in the spreadsheet.
    • Investigate and correct any discrepancies between physical stock and the spreadsheet.

3. Low-Stock Notifications

  • The system sends email alerts to cs@bahousecleaning.com and the Operations Assistant when stock drops below the threshold.
  • Upon receiving an alert:
    • Verify the current physical count.
    • Place a restocking order and update the Comments column in the spreadsheet with the expected delivery date.

4. Equipment & Tools

  • Use the same process for Equipment & Tools:
    • Check tools for functionality and cleanliness.
    • Document and replace damaged or missing items promptly.

5. Best Practices

  • Store all inventory in designated areas for efficient access and counting.
  • Ensure unused supplies or tools are returned and accounted for during Turn-In Day.
  • Periodically review thresholds and adjust based on team size or usage changes.
