Online Booking Process – Version 2 (Initial Service Adjustment Trial)

Online Booking Review Flow
For all first-time clients booking online:

If the client selected Top-to-Bottom Deluxe (TTB):
Proceed with the normal verification process.

If the client did NOT select Top-to-Bottom Deluxe (TTB):

  1. Send the template “EXPECTATION – First Visit Without TTB” (Email + SMS).
  2. Offer the client the option to upgrade to TTB.
  3. If the client keeps Maintenance Cleaning, leave the Initial Service Adjustment – Skipped TTB fee in place.
  4. Add technician notes indicating the cleaning will follow Maintenance Cleaning QA standards.
Step Action
1. Verify Property Details Check Zillow or Redfin to confirm square footage, bedrooms, and bathrooms. If the information appears incorrect or unclear, contact the client to clarify before proceeding.
2. Confirm Credit Card on File Check MaidCentral to confirm a credit card is saved on the customer profile. A card must be on file before the appointment can be confirmed. If missing, ask the client to add it or enter it on their behalf.
3. Confirm Signed Customer Guidelines Check the MaidCentral customer profile notes for a link to the signed Customer Guidelines. If not signed yet, review the automation history in GHL / Anita Automates. The system sends automatic reminders until completed.
4. Check if Top-to-Bottom Deluxe (TTB) Was Selected Review the booking to see whether the client selected the recommended initial Top-to-Bottom Deluxe cleaning.
5. If TTB Was NOT Selected Send the MaidCentral templates: EXPECTATION – First Visit Without TTB via Email and SMS to clarify expectations and offer the client the opportunity to upgrade.
6. Client Response If the client upgrades to TTB, update the service in MaidCentral, add the TTB upgrade, and remove the Initial Service Adjustment – Skipped TTB fee. If the client keeps Maintenance Cleaning, leave the adjustment fee in place.
7. Add Technician Notes If the client declines TTB, add technician notes explaining that the first visit will be a Maintenance Cleaning and that the client is aware of the service level.
8. Verify Recurring Setup (If Applicable) Check GHL / Anita Automates to confirm the Welcome Email and Data Sheet automation has been sent and completed. If not completed, the automation will continue follow-ups and eventually assign a task to the office.
9. Notify Scheduling Once everything is verified (property details, credit card, guidelines, and TTB expectations), notify Scheduling that the booking is ready for confirmation. Scheduling will proceed with the normal confirmation process.
