MIMO & TTB – Team Lead (TL) and QA Coverage Guidelines

Purpose

This article explains when a Team Lead (TL) is required, how to proceed if a TL is not available, and how to assign work tasks for MIMO (Move-In / Move-Out) and TTB (Top-to-Bottom) cleanings. This ensures quality, consistency, and clear expectations for Cleaning Technicians (CTs).

TL Requirement for MIMO & TTB Cleanings

  • All MIMO and TTB cleanings require a Team Lead (TL).
  • The TL is responsible for:
    • Oversight of the job
    • Quality Assurance (QA)
    • Addressing issues or client questions if needed
    • Communication to office

If a TL Is Not Available

If no TL is available but we still have availability to take the job:

Minimum Requirement

  • A TL must be scheduled for QA at the end of the project.

Modified Duty / QA-Only Coverage

  • When a Cleaning technician is on modified duty or assigned to QA-only work:
    • They may act as the TL, or
    • They may be scheduled only for QA, arriving ~30 minutes before the job is scheduled to end.
  • When possible, prioritize filling modified-duty schedules with QA-only assignments.

Beginning of the Job (When TL or QA-Only Staff Is Not Present at Start)

In most cases, the TL (or QA) will not be there at the beginning of the job. When this happens:

Assign Work Tasks Up Front

  • Work must be assigned clearly before the job starts.
  • Use Job Assignment Notes in MaidCentral to outline:
    • Who is responsible for each area
    • Who is responsible for before photos
    • Who is responsible for communicating to office
    • When QA will arrive
    • Instructions to wait for QA before leaving

How to Assign Work Tasks

Use the following guidelines when assigning tasks:

General Rule

  • Newer CTs or CTs with limited English:
    • Bathrooms
    • Kitchen
  • More senior CTs or CTs with stronger English skills:
    • Common areas (living room, dining room, hallways, etc.)
    • These areas often involve customer interaction
    • Office Communication and photos

Typical Split Example (2 CTs)

  • CT 1: Bathrooms + Kitchen
  • CT 2: Dusting, Vacuuming, Common Areas, photos, office communication

Adjust as needed based on:

  • Home size
  • CT experience
  • Number of bathrooms

Where to Add Job Assignment Notes

  • In the job entry, click the three-dot menu to access additional formatting/styling options.
  • Include:
    • Area assignments per CT
    • QA arrival time
    • Instruction: “Please wait for QA before leaving.”

Example Job Assignment Note

Example – MIMO Cleaning:

  • CT Maria: Bathrooms + Kitchen
  • CT Jose: Common Areas (living room, hallways, bedrooms)
  • QA/TL: Arriving ~30 minutes before scheduled end time
  • All CTs: Please wait for QA before leaving the job

Key Takeaways

  • MIMO & TTB cleanings always require TL involvement.
  • If a TL is unavailable, QA at the end is the minimum requirement.
  • Modified duty TLs may be scheduled QA-only.
  • Clear job assignment notes are critical when no TL is present at the start.
  • Proper task assignment improves efficiency, quality, and client experience.
