Lead Intake & Quote Follow-Up Process

  • ๐Ÿ”‘ Lead Sources

Leads may come through multiple channels:

    • ๐Ÿ“ž Phone call or text (manual entry required)

    • โญ Yelp, Nextdoor, Google, or other platforms (manual entry required)

    • ๐ŸŒ Website lead form (auto-created in MaidCentral with quote generated)

Step 1: Enter All Leads into MaidCentral (Primary CRM)

    • As soon as you have an email or phone number, create a new lead in MaidCentral:

      • Go to New Lead > Save Lead

      • Select the correct Lead Source (e.g., Yelp, Nextdoor, Inbound Call)

    โšก Important:

    • Website leads โ†’ auto-created in MaidCentral (no manual entry needed).

    • All other leads (phone, text, Yelp, Nextdoor, Google, referrals, etc.) โ†’ must be entered manually by the rep.

Why: MaidCentral is the starting point. Once the lead is saved, info flows into GoHighLevel (GHL) automatically.

    Step 2: Qualify the Lead

    Confirm:

    • โœ… Service area

    • โœ… Type of cleaning: Maintenance, Deep Clean, Move-In/Out, Airbnb, Office Cleaning

    • โœ… Preferred timing or urgency

Step 3: Set Expectations Clearly & Aim to Close Immediately

The goal is ALWAYS to close the lead right there and then โ€” do not default to follow-ups if theyโ€™re ready to book.

    Process to close immediately:

    1. Send Customer Guidelines via GHL (text or email) so they can review and ask questions on the spot.

    2. Answer any questions about the guidelines.

    3. Collect credit card information right away.

    4. In MaidCentral, set them up as โ€œNot Scheduledโ€.

    5. Notify Scheduling team to confirm the appointment time and send arrival details to the client.

    Step 4: Online Bookings

    • If the lead books online โ†’ theyโ€™re auto-entered into MaidCentral.

    • Follow the online booking checklist.

    Step 5: Send Quote & Begin Follow-Up (21-Day Pipeline)

    • If the lead doesnโ€™t close on the spot โ†’ send the quote.

    • The opportunity automatically enters the 21-Day Quote Follow-Up Pipeline.

    • If the lead books the cleaning:

      • The opportunity is automatically moved out of the Quote Pipeline into the Booked Pipeline.

      • All automated quote follow-ups stop.

    ๐Ÿ“‹ 21-Day Quote Follow-Up Stages

(Waiting & Call stages: Day 0 through Day 21, with glitch note at Stage 1 and auto-advancing after calls โ€” as already written above.)

    โœ… Staff Instructions

    1. Always aim to close on the spot.

      • Send Customer Guidelines via GHL for review.

      • Collect credit card info right away.

      • Enter as Not Scheduled in MaidCentral.

      • Notify Scheduling to confirm arrival.

    2. Every lead starts in MaidCentral.

      • Website leads auto-flow.

      • All other sources (phone, text, Yelp, Nextdoor, Google, referrals, etc.) must be entered manually.

    3. Once saved in MaidCentral โ†’ flows to GHL. Quote follow-up automation begins.

    4. Call only on โ€œCallโ€ stages.

    5. Log call outcomes (answered, no answer, voicemail).

    6. Watch for glitches. If a quote sits more than 2 days in Stage 1, move it manually.
