Last-Minute Appointment Add Policy
🧩 Overview — How CT Availability Works in MaidCentral
Each Cleaning Technician’s availability is shown directly on the MaidCentral calendar.
A Cleaning Technician is considered available for a last-minute assignment when BOTH of the following are true:
✔ Their MaidCentral schedule shows them as available
Meaning:
-
The CT did not submit a time-off request
-
Their shift is still active
-
There is no blocking on their availability for the day
✔ They are still clocked in for the day
Meaning:
-
They are currently working
-
They have not clocked out and gone home
-
They are still within their shift window (FT or PT)
❌ Not Allowed
We do not add jobs after a CT has:
-
Clocked out
-
Gone home
-
Ended their shift
We also do not ask CTs for “permission” if they are marked available and clocked in.
📌 Standard Protocol for Adding Last-Minute Jobs
1️⃣ Check CT availability in MaidCentral first
If:
✔ The CT shows as available on the calendar
AND
✔ They are still clocked in
→ You may add the job without asking for permission.
The calendar is the source of truth.
2️⃣ Notify the CT immediately in Slack
English
Hi [Name],
I added another house to your schedule for this afternoon. Please refresh your MaidCentral schedule. You were marked as available on the calendar and are still clocked in, so you’re active for your shift.
Thank you! Hope this helps you get closer to your next % tier. 👍
Spanish
Hola [Name],
3️⃣ Optional: Give a heads-up when you know something is coming
This helps reduce surprises and pushback.
English:
“Just a heads up — we may be adding something to your afternoon.”
Spanish:
“Solo un aviso — es posible que agreguemos algo a tu tarde.”
4️⃣ If the CT pushes back
✔ Step 1 — Remind them of the policy
English:
“You’re marked as available on the calendar and you’re still clocked in, so you’re active for your shift.”
Spanish:
“Estás marcada/o como disponible en el calendario y sigues fichada/o, así que estás activa/o para tu turno.”
✔ Step 2 — If they eventually agree
English:
“Thank you — this avoids having to escalate the situation or mark you as a no-show for work.”
Spanish:
“Gracias — esto evita tener que escalar la situación o marcarte como una ausencia injustificada.”
✔ Step 3 — If they still refuse
-
If another CT is available and closer, reassign the job.
-
Notify the original CT:
English:
“We’ll give you a pass this time, but going forward, a refusal without a time-off request will be treated as a no-show and escalated.”
Spanish:
“Te daremos un pase esta vez, pero en el futuro una negativa sin una solicitud de tiempo libre se tratará como una ausencia injustificada y se escalará.”
5️⃣ Documentation (Required)
Every pushback or refusal must be documented:
-
Add a note in the CT’s MaidCentral profile
-
Attach a screenshot of the Slack conversation
-
Include date/time and a brief summary
This ensures patterns are tracked and policies are enforced consistently.
⭐ Why This Policy Exists (For CTs)
-
Ensures fairness across all Cleaning Technicians
-
Eliminates inconsistent “permission asking”
-
Ensures CTs who are available/clocked in can help with reschedules
