Cleaning Technician Schedule & Availability Changes
Cleaning Technician Schedule & Availability Changes
Purpose
Cleaning Technicians may contact office staff through Slack, text, phone, or conversation to say they cannot work a certain day/time or that their regular availability has changed.
A message to office staff does not, by itself, change a Cleaning Technician’s schedule or availability.
Office staff must first determine whether the technician is requesting:
- A one-time change, or
- A temporary or permanent change that will occur more than once
ALL schedule and availability changes must be reviewed and approved.
Step 1: Clarify What the Technician Is Requesting
If it is not clear, ask:
“Is this only for one specific day, or will this change affect your availability more than once?”
Do not assume.
ONE-TIME CHANGE → MAIDCENTRAL
This applies when the technician needs a schedule adjustment for one specific date only.
Examples:
- Cannot work tomorrow afternoon
- Needs one specific day off
- Needs to leave early on one particular date
- Has an appointment on a specific day
- Has a one-time personal/family obligation
- Cannot work during part of one scheduled day
The technician must submit the appropriate time-off/unavailability request through MaidCentral.
The request must still be reviewed and approved.
Office staff should not treat a Slack message, text, phone call, or verbal conversation as the official request.
Short-Notice Requests
If the request does not meet our required advance-notice period, normal attendance/emergency call-out policies apply.
Submitting a request does not automatically mean it is approved, excused, or exempt from attendance policies.
TEMPORARY OR PERMANENT AVAILABILITY CHANGE — MORE THAN ONCE → SCHEDULE CHANGE REQUEST FORM
If the requested availability change will happen more than one time, the technician must complete the Schedule Change Request Form.
This applies whether the change is temporary or permanent.
Examples:
- “For the next three Thursdays, I need to leave by 3:30 PM.”
- “For the next month, I cannot work after 4:00 PM.”
- “I can no longer work Thursdays.”
- “Going forward, I need to finish by 3:30 PM every day.”
- “I can only work Monday through Wednesday.”
- “I cannot start before 9:00 AM anymore.”

Important
Submitting the form does not mean the requested change is approved.
All changes must be reviewed based on company needs, scheduling capacity, routes, client commitments, and other operational considerations.
Until the technician receives approval, their currently approved availability remains in effect.
What If They Say, “I Already Told Someone”?
Technicians may say:
- “I already told Lex.”
- “I mentioned this before.”
- “I put it in Slack.”
- “The office already knows.”
- “I’ve been saying I can’t work after that time.”
A previous conversation does not replace the required process or constitute approval.
Office staff should acknowledge the communication and redirect the technician to the correct process.
Example Response:
“Thank you for letting us know. Since this change will affect your availability more than once, please submit the Schedule Change Request Form so the request can be formally reviewed. Until you receive approval, your current approved availability remains in effect.”
Office Staff Decision Guide
Does the change apply to ONE specific date only?
→ Submit through MaidCentral.
→ Request must be reviewed and approved.
→ Short-notice/attendance policies still apply when applicable.
Will the change affect availability MORE THAN ONCE?
→ Complete the Schedule Change Request Form.
→ This applies to both temporary and permanent recurring changes.
→ Request must be reviewed and approved.
Is the technician simply mentioning the limitation through Slack, text, phone, or conversation?
→ Clarify whether it is one-time or more than once.
→ Direct them to the appropriate official process.
→ Do not consider the communication itself an approved schedule change.
Office Staff Responsibilities
When a Cleaning Technician communicates a scheduling or availability limitation:
- Determine whether the request affects one date or more than one occurrence.
- Direct the technician to the correct process.
- Make sure the request is formally submitted.
- Do not promise or imply approval before the request has been reviewed.
- Do not informally change a technician’s regular availability based on Slack messages, texts, phone calls, or verbal conversations.
- Until approval is communicated, continue using the technician’s currently approved availability.
- If the technician repeatedly communicates the same limitation without completing the required process, redirect them to the appropriate form instead of repeatedly working around the restriction.
Quick Reference
Slack / Text / Verbal = Communication Only — Not a Schedule Change
MaidCentral = ONE-Time Availability or Time-Off Change
Schedule Change Request Form = Temporary or Permanent Availability Change Affecting MORE THAN ONE Occurrence
ALL Changes = Must Be Reviewed & Approved
